Checklist to Green Meetings

Because every little thing helps, here is a general guide on how you as a meeting planner can hold sustainable meetings and save money as well as time. This guide is inspired by the book "Simple Steps to Green Meetings and Events" by Amy Spratisiano.

With an industry as “non-green” as the meetings industry, some might say "why bother?" Thousands of people fly across the world, stay in a single hotel room using towels and individually packed soaps, go to meetings where they are handed tons of printouts and notes, eat pre-packaged food and drink bottled water. But this is exactly the reason why we should bother. Trying to rethink the conventional meeting scenario will not only protect the environment but also save money; and all without much effort. This is what Amy Spatrisiano's "Simple Steps to Green Meetings and Events" is all about.

The most important things to keep in mind are:

Go Green:
Transportation to/from and within the destination

  • Which Air Supplier has Carbon off-set programmes and/or Continuous Descent Approach (CDA) programmes?
  • Are hotels, venues and conference facilities located within walking distance from each other or easily accessible by public transport?
  • Is travel even necessary or could the meeting be held via video?
  • Can I find another way to travel than by plane?
  • Could we do more than one meeting now that we have already travelled there?

Go Green to Denmark

Stay Green:
Does the hotel: 

  • have systems that automatically turn off the room light when guests are not there?
  • have water-conservation practises in the hotel?
  • reuse towels and linen?
  • have a recycling program?
  • serve organic and/or locally grown food?
  • use environmentally friendly cleaning products and/or towels, toilet paper and linen?

Eat & Drink Green:
Do the restaurants and caterers:

  • serve organic food? If so, to which extend?
  • have a CSR programme?
  • donate leftovers?
  • use china instead of disposable dishes?

Think of activities such as:

  • Bicycling through town
  • Kayaking
  • Swimming
  • Walking instead of public transportation
